You filed a damage claim after your freight arrived crushed, and the carrier denied it — citing "inadequate packaging" as the reason. This happens more often than shippers expect, because most freight damage does not actually happen from careless handling. It happens because a pallet was stacked too high, wrapped too loosely, or never designed to survive the normal jostling of an LTL network with multiple handling points. Packaging standards are not a bureaucratic checkbox — they are the difference between a claim that gets paid and one that gets denied.

Here is what actually holds up in transit, and what carriers and insurers look for when deciding whether a damage claim is your fault or theirs.

Why does packaging cause more damage claims than handling does?

Freight moving through an LTL network typically passes through multiple terminals, gets loaded and unloaded several times, and rides alongside other shippers' freight that may shift during transit. None of that is unusual or negligent — it is the normal operating condition of the network. Packaging that is only built to survive a single, careful move fails under those ordinary conditions, and when it does, most carrier liability policies and cargo insurance policies exclude damage attributable to "inadequate packaging." That single clause is the reason packaging deserves as much attention as insurance coverage itself — a claim can be denied entirely regardless of how much coverage you purchased if the packaging did not meet a reasonable standard.

What makes a pallet load actually secure?

A properly built pallet load follows a few consistent principles regardless of what is on it:

  • Use a pallet rated for the load weight, in good condition — no broken boards, no protruding nails. A standard 48×40 GMA pallet handles most general freight, but heavier loads need a rated industrial pallet.
  • Distribute weight evenly across the pallet footprint, and keep the load within the pallet's edges. Overhang is a common cause of damage when forklifts or pallet jacks catch an edge.
  • Stack heaviest items on the bottom, and keep the overall stack height reasonable for the commodity — a load stacked too high is unstable and more likely to tip during transit or handling.
  • Stretch-wrap the entire load, not just around the middle. Wrap should run from the pallet base to the top of the load in a consistent spiral pattern, with enough tension to compress the load slightly without crushing it.
  • Add corner boards on taller or heavier loads to prevent the stretch wrap from cutting into box corners and to add structural rigidity to the stack.
  • Use edge protectors and banding for particularly heavy or high-value loads, adding a second layer of security beyond stretch wrap alone.

What packaging materials matter most for fragile freight?

Fragile and high-value freight needs packaging built specifically for the risk profile of LTL handling, not standard retail packaging designed for careful, single-handler movement:

  1. Double-wall or triple-wall corrugated boxes for anything with meaningful weight or fragility — single-wall retail boxes are not rated for freight-network handling.
  2. Interior cushioning (foam inserts, air pillows, molded pulp) sized to prevent product movement inside the box, not just to fill empty space.
  3. Separation between multiple fragile items in the same box or pallet — items should never be able to contact and damage each other during transit.
  4. Crating for high-value or irregularly shaped items, particularly anything that cannot be reasonably boxed or palletized using standard methods.

How should freight be labeled to avoid mishandling?

Labeling failures cause a meaningful share of preventable damage. Every pallet or piece should carry:

  • Origin and destination address clearly visible on at least two sides, not just the top.
  • Handling instructions — "This Side Up," "Fragile," "Do Not Stack" — printed large enough to be seen at a glance, not buried in small text.
  • Piece count for multi-piece shipments ("1 of 4," "2 of 4") so receiving docks can confirm everything arrived.
  • PO or reference number matching the bill of lading, so freight is easy to match to paperwork at every handling point.

Labels should be placed on the load itself, not just on loose paperwork riding alongside it — paperwork gets separated from freight far more often than shippers expect.

What does a carrier actually inspect when a damage claim is filed?

When you file a claim, the carrier or insurer typically examines whether the packaging met a reasonable industry standard for the commodity and the mode of transport, whether the damage pattern is consistent with normal handling stress or something more severe (which shifts liability toward the carrier), and whether photos or documentation exist showing the packaging condition before the freight shipped. This is why photographing your freight — pallet, wrap, labeling, all visible — immediately before pickup is one of the most valuable five minutes you can spend. It is the single piece of evidence that most directly determines whether a disputed claim gets resolved in your favor.

Do packaging standards differ for reefer and flatbed freight?

Yes, and this is where generic packaging advice tends to fall short. Reefer freight has an additional requirement beyond physical protection: airflow. Cartons and pallets need to be arranged with enough clearance for cold air to circulate throughout the trailer — freight packed too tightly against walls or stacked without gaps can create warm pockets that spoil temperature-sensitive product even when the reefer unit itself is functioning correctly. Leave manufacturer-recommended airflow channels and avoid blocking the air chute at the nose of the trailer.

Flatbed freight has the opposite problem — no walls or roof at all, fully exposed to weather and highway wind. Packaging and securement here means weatherproof wrapping or tarping for anything moisture-sensitive, proper dunnage between layers to prevent shifting, and load securement (chains, straps, edge protectors) rated for the weight and shape of the freight, meeting DOT and provincial securement regulations. Flatbed damage claims often trace back to inadequate securement rather than the packaging material itself — a well-wrapped load that isn't properly chained down can still shift or fall in transit.

What are the most common packaging mistakes shippers make?

A handful of mistakes account for a disproportionate share of preventable damage claims:

  • Reusing damaged pallets to save cost — a cracked or weakened pallet is far more likely to fail under normal handling stress than a fresh one.
  • Under-wrapping to save on stretch film — the material cost saved is trivial compared to the cost of a single damage claim caused by a load shifting because it wasn't adequately secured.
  • Mixing incompatible freight on one pallet, such as heavy items stacked above fragile ones, or wet-prone and moisture-sensitive goods loaded together.
  • Skipping corner protection on tall or heavy loads, leading to stretch wrap cutting into box edges and losing its securing tension mid-transit.
  • Failing to match packaging to the actual mode. Packaging adequate for a single dedicated truck move is often insufficient for multi-stop LTL, where the freight is handled far more times.

What is the fastest way to audit your current packaging?

Pull your last three damage claims, if you have any, and look for a pattern — a recurring product line, a recurring pallet configuration, a recurring failure point (corners, top layer, specific box style). Freight damage is rarely random; it usually traces back to one or two repeatable weaknesses in how a specific product gets packed. Fixing that one weak point typically reduces the claim rate for that product line dramatically, often for less than the cost of a single unresolved claim.
